Claim your team, manage your roster, run meets, talk to parents.
How do I claim my team?+
Submit the interest form at /admin/onboard with your school, sport, and your head-coach contact. We set up the team within one business day, send you a coach PIN and a starter parent-broadcast template, and import every existing public result for your athletes from the last three seasons.
We do this manually right now (no self-service signup) because it’s the right way to handle coach verification and co-op situations. Once your team is live, you’re in charge.
How do I add parent emails to my roster?+
From the roster page, click on an athlete and add the parent’s email under “Family contacts.” You can paste one per line. The first time you broadcast, parents get a one-line consent footer with an unsubscribe link (CAN-SPAM compliant). Common case: paste a starting-line meet roster from a spreadsheet and we’ll parse the email columns.
How do I host a meet?+
From your coach dashboard, hit “Host a meet.” You can either:
- Use a timing company (recommended). AccuRace, AthleticLive, MileSplit, or PrimeTime publish results — we auto-import within minutes. You don’t do anything else.
- Run it yourself with Meet Host ($299/year or $25/meet). Collect entry fees via Stripe Connect routed to your athletic department, build a meet program in our editor, enter results from your phone in Live Meet Mode (next question), publish to WI Athlete on submit.
Can I run a meet from my phone?+
Yes — Live Meet Mode (in Meet Host) is phone-first. Tap an event, enter lane-by-lane times or height/distance, mark wind / hand-timed / DQ inline, hit publish. Times go live to your meet’s public page in under 5 seconds. Works offline; we sync when you’re back on signal. PIN-gated so volunteers can’t accidentally enter for another event.
What if I don't have a timing company?+
Run a small dual or invite with Live Meet Mode (above), or upload a HyTek text export from your laptop after the meet. Both options publish to your athletes’ profiles immediately. Hand-timed events are tagged “HT” in the public display so recruiters know what they’re looking at.
How do I broadcast to my team's parents?+
From your dashboard, open “Announcements”. Compose a subject + body, choose Athletes (13+ only) / Parents / Both, send. We deliver via Resend, log every open/bounce, and surface a delivery dashboard. Three rate limits: 1 broadcast/hour, 5/day, 20/week per team. Override for emergencies: email us.
How does coach login work?+
Coach PIN. You set it during onboarding, you enter it at the team page, we issue a signed HttpOnly cookie that’s good for 30 days. No password, no email reset loop, no password manager hassle. Change the PIN anytime from your dashboard.
Can multiple coaches share one team account?+
Today: yes, share the PIN with your assistants. Auditing is team-level, not coach-level. Multi-seat coach accounts with per-coach audit trails ship in fall 2026 (priority feature for Coach Pro Department tier).
How do I fix a result I already published?+
Open the result, hit Edit, fix the field, save. The athlete notification and rank are recomputed automatically. If the result came from a timing company import (you didn’t publish it), email hello@wiathlete.com with the meet name and the corrected mark — we’ll edit at the source.
Can I import my HyTek roster?+
Yes. Export your HyTek roster to a .HY3 or CSV and drop it on the roster page. We match athletes against existing meet results so you don’t end up with duplicate profiles.
How do I see who’s following my team?+
Follower count by athlete and by team is in your dashboard. Individual follower identities stay private (some are recruiters, who get NCAA-mandated opacity). Aggregate counts let you see which athletes are getting traction without exposing recruiter activity.
What about co-op teams (multi-school)?+
Co-ops are first-class. Tell us during onboarding which schools combine and we create one team account that’s visible from each component school’s page. Roster athletes stay tagged to their home school for FERPA purposes.
What does Coach Pro cost?+
$79/team/year. Includes roster management, results entry, athlete recaps, parent broadcasts, season schedule publishing. See /pricing for everything. Athletes and parents are always free.
