NCAA compliance

Is this NCAA-compliant?+

Every recruiter→HS-coach message is classified at send time against the NCAA Division I T&F recruiting calendar and recorded with an audit trail.

  • Allowed: senior, or junior on/after September 1 → message sent.
  • Restricted: junior before September 1, sophomore, freshman → message goes to the HS coach, NOT the athlete, and is flagged in audit.
  • Prohibited: grad year is malformed or wildly out of range → message blocked.

We apply the D1 window across all divisions as the safest common denominator. D2 / D3 rules are looser; we err strict.

Can I contact an athlete directly through your platform?+

No. The only outbound channel we expose is recruiter → HS-coach. The HS coach can forward your message to the athlete or family at their discretion. This keeps recruiters compliant without manual rules tracking.

How are messages throttled?+

Three messages per recruiter → HS-coach pair per 7-day window. This prevents inbox flooding of HS coaches. If you need to exceed this, contact us.

Can a compliance officer audit my activity?+

Yes. We retain a 5-year audit log of every search, watchlist add, message, tag, export, and profile view tied to your account. Your athletic compliance officer can request the full log from us at any time. Email kyle@wiathlete.com with the compliance officer’s contact info.

FERPA + athlete data

What data do you collect about athletes?+
  • Public results: meet times / distances / places from AccuRace, AthleticLive, MileSplit, PrimeTime, HyTek exports.
  • Directory information: name, school, graduation year. FERPA-exempt under 34 CFR 99.3.
  • Optional, opt-in: GPA, ACT / SAT scores, intended major, personal statement, awards. Self-reported by the parent or athlete via the profile-edit page.
Are GPAs and test scores accurate?+

They are self-reported by the parent or athlete. We do not verify them against transcripts. Treat them as starting-point data, not the final word. The parent/athlete has explicitly consented to share these with verified recruiters when they published the field.

Where do meet results come from?+

Public timing-company feeds: AccuRace, AthleticLive, MileSplit, PrimeTime, plus HyTek exports submitted by coaches. We do not scrape gradebooks, transcripts, or any educational records.

What if an athlete wants to be invisible?+

Parents can flip the athlete’s recruiter-visibility flag to “opted out” on the profile-edit page. Opted-out athletes are filtered server-side from every recruiter search, watchlist, and profile view endpoint. Their public results page still works (FERPA-exempt directory info), but they will not appear in recruiter discovery.

Verification + fraud

How do you verify recruiters?+

Three layers:

  1. .edu email required: enforced by the data model (CHECK constraint) and at the API layer.
  2. Disposable-email blocklist: 440+ throwaway domains rejected at signup.
  3. Manual review: Kyle reviews each signup unless your `.edu` domain is on our pre-approved list (UW system, NAIA, D2/D3 directories).
What if my school uses a non-.edu domain?+

Email kyle@wiathlete.com with your verification details. We’ll add you to the allowlist within a business day.

Why are you tracking IP addresses?+

For fraud detection. If three recruiter accounts sign up from the same IP in 24 hours, we raise a flag and review. This catches the case where a HS athlete attempts to sign up as a “recruiter” to see their own profile. IPs are stored on your signup row and in the audit log. They are not shared with anyone outside the platform.

Pricing + plans

What does Pro cost?+

$99/year. Unlimited watchlist, career arc graphs, bulk CSV export, saved searches, daily digest option. Free tier remains free forever for searching + 25-athlete watchlist + weekly digest.

What does Department cost?+

$500–$1500/year, depending on department size. Up to 10 recruiters on one invoice with shared watchlists. Get in touch: kyle@wiathlete.com.

Why is the athlete side free?+

NCSA charges families $500–$3000. FieldLevel charges $400+. We think that’s backwards: athletes get free visibility, and college recruiters — who have departmental budgets — pay for the tooling. This is also why our “X coaches viewed your profile” is real verified count, not inflated marketing theater.
